Billing & Refund Policy

ATHLIX Technologies LLC — Effective as of the date of publication

This Billing and Refund Policy explains how ATHLIX Technologies LLC ("ATHLIX", "we", "our", or "the Company") charges, processes, and manages subscriptions, payments, cancellations, refunds, plan limits, promotions, and billing-related matters related to the use of the ATHLIX platform.

By subscribing to, accessing, or using paid features of ATHLIX, you agree to this Policy.

Section 1

ATHLIX Subscriptions

ATHLIX offers subscription-based plans that provide access to features, limits, and capabilities based on the selected tier.

Subscriptions may be billed monthly, annually, or on another cycle available at the time of contracting the Service.

Access to certain features may depend on the academy's active plan, including athlete limits, available modules, administrative functions, payments, attendance, schedules, reports, communications, automations, documents, waivers, registrations, or other operational tools.

ATHLIX may offer different plans based on usage, academy size, number of active athletes, number of users, available modules, storage, communication limits, or other platform capabilities.

Section 2

Free Access, Trials, Promotions, and Early Access

ATHLIX may offer free access, trials, promotional periods, early access, beta access, limited-feature plans, or temporary access to certain modules at its discretion.

Free, trial, promotional, beta, or early access may be modified, limited, suspended, or discontinued at any time.

ATHLIX may require a paid subscription to continue using certain features, modules, limits, or capabilities after a free, trial, promotional, beta, or early access period ends.

Unless expressly stated otherwise, free access, trials, promotions, beta access, or early access do not guarantee continued free use of the Service.

ATHLIX may limit or restrict features available during free, trial, promotional, beta, or early access periods, including athlete limits, payment tools, reports, communications, automations, documents, waivers, registrations, or other modules.

Section 3

Billing and Authorization

By subscribing to an ATHLIX plan, you authorize ATHLIX and its payment providers to:

  • Automatically charge the selected payment method.
  • Process recurring payments according to the chosen billing cycle.
  • Charge applicable taxes, fees, or other charges where required.
  • Retry failed payments where permitted.
  • Update your subscription status based on payment results.

Payments are processed by external providers, such as Stripe. ATHLIX does not store complete credit card, debit card, or full banking information.

You are responsible for maintaining accurate billing information and ensuring that your payment method remains valid and available for recurring charges.

Section 4

App Store and External Billing

ATHLIX subscriptions for academies may be purchased, managed, upgraded, downgraded, or canceled through ATHLIX's website, billing portal, or third-party payment providers such as Stripe.

Unless expressly stated otherwise, ATHLIX subscriptions are not purchased through Apple, Google, or any mobile app store.

Apple, Google, and other app stores are not responsible for ATHLIX subscription billing, refunds, cancellations, payment disputes, payment methods, invoices, or subscription management.

Users may be directed to ATHLIX's website or billing portal to manage subscriptions, payment methods, invoices, cancellations, plan changes, or account billing settings.

Use of the ATHLIX mobile application does not mean that subscriptions, academy billing, or payment management are processed by Apple, Google, or any mobile app store.

Section 5

Automatic Renewal

Subscriptions automatically renew at the end of each billing cycle unless canceled before the renewal date.

You are responsible for canceling your subscription before the renewal date if you do not wish to continue the Service.

If you do not cancel before renewal, you authorize ATHLIX and its payment providers to charge the selected payment method for the next billing cycle.

Renewal charges may include applicable taxes, fees, or other charges where required.

Section 6

Cancellation

You may cancel your subscription at any time through the corresponding portal, available settings, or by contacting: support@tryathlix.com

Cancellation stops future billing.

Access to the paid plan may remain active until the end of the current billing period, unless ATHLIX indicates otherwise or there is a violation of the Terms of Service.

No partial refunds are granted for unused time, unused features, or cancellations made after a renewal.

If you cancel a subscription, you are responsible for confirming that the cancellation was completed successfully before the next renewal date.

Section 7

No Refunds

Unless applicable law requires otherwise or ATHLIX expressly approves an exception in writing, all payments made to ATHLIX are non-refundable.

This includes, but is not limited to:

  • Partial billing periods.
  • Unused time.
  • Unused features.
  • Downgrades to lower plans.
  • Accidental or forgotten renewals.
  • Failure to use the platform.
  • Cancellations made after renewal.
  • Changes in the academy's operational needs.
  • Suspensions caused by non-payment or policy violations.
  • Failure to cancel before the renewal date.
  • Loss of access caused by violation of ATHLIX policies or Terms of Service.

Cancellation prevents future charges but does not automatically generate a refund for already-paid periods.

ATHLIX may, at its sole discretion, review exceptional refund requests, but approval of one refund does not create an obligation to approve future refunds.

Section 8

Plan Changes

ATHLIX may allow plan changes, including upgrades and downgrades.

Upgrades

  • May take effect immediately or at the next billing cycle.
  • May generate additional charges.
  • May activate immediate access to higher features or limits.
  • May be calculated on a pro-rata basis when the payment processor allows.
  • May be required if an academy exceeds the limits of its current plan.

Downgrades

  • Normally take effect at the end of the current billing cycle.
  • Do not generate a refund for the remaining period.
  • May reduce access to features, limits, or available modules.
  • May require the academy to adjust its use of the platform to comply with the new plan's limits.

If an academy exceeds the limits of its selected plan, ATHLIX may require the academy to upgrade to a higher plan, reduce usage, archive inactive records, remove excess users or records, or otherwise bring the account back within the applicable plan limits.

Section 9

Failed Payments

If a payment fails, ATHLIX or its payment provider may:

  • Automatically retry the payment.
  • Notify the user or account administrator.
  • Request an update to the payment method.
  • Temporarily restrict access to features.
  • Partially or fully suspend access to the Service.
  • Terminate the account if non-payment continues.

Access to paid features may be limited until the outstanding payment is resolved.

ATHLIX is not responsible for interruptions caused by expired payment methods, insufficient funds, issuing banks, payment processor rejections, incorrect payment information, bank restrictions, card network issues, or payment provider limitations.

Section 10

Suspension for Non-Payment

ATHLIX may suspend, limit, or terminate access to the Service if a subscription is not paid on time.

During a suspension, certain features may become unavailable, including access to administrative modules, advanced management, reports, payments, attendance, schedules, communications, automations, documents, waivers, registrations, or other plan features.

Suspension for non-payment does not automatically eliminate the obligation to pay outstanding amounts.

ATHLIX may retain certain account information during suspension as necessary to maintain records, comply with legal obligations, prevent fraud, resolve disputes, or support account restoration.

Section 11

Price Changes

ATHLIX may update prices, plans, limits, or available features.

Where required or reasonable, ATHLIX will provide prior notice before price changes take effect.

Continued use of the Service after new prices take effect constitutes acceptance of those changes.

If you do not agree with a price change, you may cancel your subscription before the next billing cycle.

Price changes may apply to new subscriptions, renewals, upgrades, downgrades, or plan changes depending on the applicable terms presented at the time of billing.

Section 12

Chargebacks and Disputes

If you have a billing question or issue, we recommend contacting us first at: support@tryathlix.com

Unauthorized, abusive, or fraudulent chargebacks may result in:

  • Immediate account suspension.
  • Restriction of access to the Service.
  • Account termination.
  • Loss of access to paid features.
  • Internal investigation.
  • Additional measures permitted by law.

ATHLIX reserves the right to dispute chargebacks it considers incorrect, abusive, fraudulent, or inconsistent with this Policy, the Terms of Service, or applicable law.

Submitting a chargeback does not automatically cancel an active subscription. You remain responsible for canceling your subscription through the proper cancellation method.

Section 13

Third-Party Fees

ATHLIX is not responsible for fees charged by third parties, including:

  • Bank fees.
  • Payment processor fees.
  • Stripe or other provider fees.
  • Currency conversion fees.
  • Insufficient fund charges.
  • Issuing bank fees.
  • Card network fees.
  • Applicable government taxes, levies, or charges.

Payment providers may charge separate fees according to their own terms, policies, and pricing.

Any fees charged by third parties are separate from ATHLIX subscription fees unless expressly stated otherwise.

Section 14

Payments Collected by Academies

ATHLIX may offer tools for sports academies to manage, record, organize, or facilitate payments related to athletes, parents, guardians, or clients.

Each academy is solely responsible for the payments it charges to its athletes, parents, guardians, or clients.

The academy is responsible for:

  • Setting prices.
  • Creating charges.
  • Collecting tuition, fees, one-time charges, tournament fees, registration fees, tryout fees, uniform charges, or other payments.
  • Communicating payment policies.
  • Issuing receipts where applicable.
  • Managing refunds.
  • Handling disputes.
  • Resolving chargebacks.
  • Complying with applicable financial, tax, commercial, consumer, and payment laws.

ATHLIX is not a party to transactions between academies and their clients.

ATHLIX does not control an academy's pricing, refund decisions, cancellation policies, late fees, payment deadlines, or collection practices.

Section 15

Refunds to Parents, Athletes, or Academy Clients

Refunds related to payments charged by an academy to parents, athletes, guardians, or clients are the exclusive responsibility of the corresponding academy.

ATHLIX does not decide, approve, guarantee, or process refunds on behalf of academies, unless a technical feature is available within the platform and the academy chooses to use it.

Academies must establish and communicate their own refund, cancellation, late payment, and dispute policies.

Parents, athletes, guardians, or clients should contact the corresponding academy directly regarding refunds, credits, billing disputes, payment plans, cancellations, or failed payments related to academy charges.

Section 16

Payment Processors

ATHLIX may use external processors such as Stripe or other providers to process payments.

Use of such services may be subject to additional terms, policies, fees, reviews, holds, restrictions, verifications, or requirements set by the corresponding provider.

ATHLIX does not control and is not responsible for:

  • Payment approval or rejection decisions.
  • Fund holds.
  • Account reviews.
  • Payment account suspensions.
  • Identity verifications.
  • Processor fees.
  • Changes to processor policies.
  • Delays in transfers or payouts.
  • Disputes or restrictions imposed by payment processors.
  • Processor compliance requirements.

If an academy connects its own payment processor account, the academy is responsible for maintaining that account, complying with processor requirements, and resolving any processor-related issues.

Section 17

Taxes

Prices may not include applicable taxes, levies, or government charges, unless expressly stated.

You are responsible for any applicable taxes related to your subscription, use of the Service, or payments processed through the platform.

ATHLIX may collect taxes when required by law.

Academies are responsible for determining, collecting, reporting, and remitting any taxes applicable to payments they charge to athletes, parents, guardians, or clients, unless a payment provider or applicable law states otherwise.

Section 18

Plan-Based Access and Usage Limits

Access to ATHLIX features, limits, and modules depends on the academy's active plan.

If a subscription is canceled, downgraded, suspended, terminated, or becomes unpaid, certain features may become unavailable.

ATHLIX may apply usage limits based on the plan, including limits on:

  • Active athletes.
  • Users.
  • Staff or coaches.
  • Teams.
  • Categories.
  • Locations.
  • Modules.
  • Reports.
  • Automations.
  • Communications.
  • Documents.
  • Waivers.
  • Registrations.
  • Payment tools.
  • Storage.
  • Other capabilities.

If an academy exceeds its plan limits, ATHLIX may restrict additional usage, require an upgrade, limit access to certain features, prevent creation of additional records, archive inactive data, or request that the academy reduce usage to remain within the selected plan.

ATHLIX may determine how active athletes, users, records, or usage limits are counted for billing and plan access purposes.

Section 19

Billing Errors

If you detect a billing error, you must contact us as soon as possible at: support@tryathlix.com

ATHLIX will review the case reasonably and may correct confirmed errors as appropriate.

Not all disputed charges qualify for a refund.

Failure to report a billing issue promptly may limit ATHLIX's ability to investigate or correct the issue.

Section 20

Service Termination

ATHLIX may suspend or terminate an account for:

  • Non-payment.
  • Abusive chargebacks.
  • Fraud.
  • Misuse of the Service.
  • Violation of the Terms of Service.
  • Violation of this Policy.
  • Legal, financial, or security risk.
  • Activity that may harm ATHLIX, users, providers, payment processors, communication providers, or third parties.

Termination does not guarantee a refund of already-paid payments.

ATHLIX may retain certain billing, transaction, compliance, and account records as required or permitted by law.

Section 21

Relationship with the Terms of Service

This Policy is part of ATHLIX's Terms of Service.

In the event of conflict between this Policy and the Terms of Service, ATHLIX may interpret both documents consistently with applicable law and the purpose of the Service.

Section 22

Changes to This Policy

ATHLIX may update this Billing and Refund Policy at any time.

When we make significant changes, we may notify users through the platform, by email, or through a visible notice on our website.

Continued use of the Service after an update constitutes acceptance of the updated Policy.

The effective date will be updated as appropriate.
